๐Ÿš€ Getting Started

Audilynx is an audit confirmation management platform that lets audit firms send, track, and manage balance confirmation requests with third parties โ€” banks, creditors, debtors โ€” digitally.

How It Works

Sign Up & Verify Your Email

Create an account at auth.php. A verification link is sent to your email โ€” click it to activate your account.

Choose a Plan

After verifying, you're directed to the Pricing page. Select a plan (including a free tier if available). Plans control your engagement limits, contact limits, and features like templates and reminders.

Create an Engagement & Add Contacts

An engagement is one audit client. Add contacts (third parties) within it โ€” each gets a unique secure link for responding. No email setup is required โ€” Audilynx sends everything for you automatically.

Send Confirmations & Track Responses

Send requests in one click. Monitor responses in real time, flag differences, set automatic reminders, and export reports.

Configure your firm profile and security. Email sending is handled automatically โ€” no setup required for most firms.

Profile Settings

Go to Settings โ†’ Profile to update your firm name and contact details. This name appears in confirmation emails sent to third parties.

How Email Sending Works

Audilynx sends every confirmation request, reminder, and authorisation letter on your behalf automatically โ€” there's nothing to configure. Your clients and third parties always receive emails at their own registered address, no matter which sender is used.

๐Ÿ’ก New accounts no longer need to connect Gmail, Outlook, or SMTP. Audilynx handles all sending centrally and reliably.

Branded Sender Email (Enterprise Plan Only)

Firms on the Enterprise plan may optionally configure their own sender email so confirmations appear to come from their own domain (e.g. audit@yourfirm.com) instead of Audilynx's default address.

This option appears under Settings โ†’ Email Settings only for Enterprise plan accounts. All other plans use Audilynx's default sending โ€” fully managed, no setup, no maintenance.

Security Settings

Change your password and enable Two-Factor Authentication (2FA) under Settings โ†’ Security. See the Security & 2FA section for details.

๐Ÿ’ณ Plans & Subscription

Your plan controls how many engagements and contacts you can manage, and which features are available.

Choosing a Plan

After signing up and verifying your email, you're prompted to choose a plan on the Pricing page. Plans are set by the administrator and vary in price, duration, and features.

โš ๏ธ Free plans are time-limited โ€” they expire after the admin-configured period and cannot be re-subscribed. Once a free plan expires, you must upgrade to a paid plan.

Managing Your Subscription

Go to Subscription (sidebar) to view your current plan, usage percentages (engagements, contacts, team members), and available upgrade options. Only the account Owner can manage billing.

๐Ÿ“‹ Engagements

An engagement represents one audit client for a specific financial year-end. All contacts and confirmation requests are organised under an engagement.

Creating an Engagement

Go to Engagements โ†’ New Engagement.

Enter: Client name, Engagement type (Receivables or Payables), Year-end date, and optional reference number.

Save โ€” the engagement is created with Draft status.

Engagement Types

Receivables โ€” Confirm balances owed to your client (e.g. bank balances, debtors). Payables โ€” Confirm balances your client owes (e.g. creditors, loans).

๐Ÿ‘ฅ Contacts & Third Parties

Contacts are the third parties (banks, creditors, debtors) who receive and respond to confirmation requests within an engagement.

Adding Contacts

Open an engagement and click Add Contact. Enter:

  • Contact name (person or institution)
  • Email address
  • Balance amount to be confirmed
  • Optional: reference, account number, signatory name
๐Ÿ’ก Contact data is encrypted at rest for privacy.

Contact Limits

The number of contacts you can add is controlled by your subscription plan. View your usage on the Subscription page.

๐Ÿ“ง Sending Confirmations

Confirmation requests are sent to third-party contacts via email. Each contains a unique secure link for the recipient to confirm or dispute the balance.

Prerequisites

โœ“ Nothing to configure โ€” Audilynx sends confirmation emails automatically using its managed email system. Just create your engagement, add contacts, and send.
๐Ÿ’ก Enterprise plan firms may optionally set up a branded sender email under Settings, but this is never required to send confirmations.

Sending Requests

Go to Confirmations and select an engagement.

Click Send Confirmation next to a contact โ€” or Send All to dispatch to every contact in the engagement at once.

The contact receives an email with a secure link. They click it, review the balance, and either confirm or indicate a difference.

What the Contact Sees

The confirmation page shows the balance to be confirmed, your firm's authorisation letter, and a response form. No login is required โ€” the link is unique and time-sensitive. The contact always receives the email and any reply notifications at their own registered email address โ€” this is never affected by whether your firm uses the default sender or a branded Enterprise sender.

๐Ÿ“ฌ Responses & Differences

Track all incoming responses and identify balance differences automatically.

Viewing Responses

Go to Responses to see all responses across all engagements. Filter by engagement, status, or date. You can also export to Excel.

Differences

When a contact confirms a different balance than what was sent, the system flags it as a difference. Go to Differences to review, add investigation notes, and mark them as resolved.

Exporting Responses

Click Export to Excel on the Responses page to download a full CSV of all responses, including contact names, balance sent, balance confirmed, and any differences noted.

๐Ÿ”” Reminders

Automated reminders follow up with contacts who haven't responded to confirmation requests.

How Reminders Work

When enabled, the system automatically sends follow-up emails to contacts whose confirmations are still pending after a set number of days. You can also trigger reminders manually from the Engagements page.

๐Ÿ’ก Automated reminders require the Reminders feature on your plan. Check your plan under Subscription.

Manual Reminders

On the Engagements page, click Send Reminders on any engagement to immediately send a reminder to all pending contacts in that engagement.

Reminder Template

The Reminder Notice template is used automatically. Customise its wording under Email Templates.

๐Ÿ“Š Reports & Export

Analyse your engagement performance and export data for working paper files.

Dashboard Overview

The main dashboard shows at-a-glance metrics: total engagements, confirmations sent, responses received, response rate, and pending items.

Reports Page

Go to Reports for detailed breakdowns by engagement type, status, response rate over time, and top clients. Use the print button to save as PDF.

Audit Trail

The Audit Trail records every action taken in the system โ€” who sent what, when, and any changes made. This is useful for quality review and regulatory compliance. Export it as CSV.

Inviting Team Members

Go to Team โ†’ Invite Member.

Enter the colleague's email and assign a role. An invitation email is sent.

The invitee clicks the link, registers with a password, and is immediately added to your team.

๐Ÿ”’ Security & 2FA

Protect your account with two-factor authentication (2FA) and strong passwords.

Two-Factor Authentication

Go to Settings โ†’ Security to enable 2FA. Two methods are available:

โš ๏ธ If your administrator has enabled Require 2FA for all users, you must set up 2FA before accessing any other page.

Changing Your Password

Go to Settings โ†’ Security โ†’ Change Password. Enter your current password, then your new one (minimum 6 characters). Your session is regenerated after the change.

Session Security

Sessions are protected with HttpOnly and SameSite=Lax cookie flags. Session IDs are regenerated on login and every 15 minutes during active use. Login is rate-limited to 5 attempts per 15 minutes.

โ“ Frequently Asked Questions

Can I use a free plan forever?

No. Free plans expire after the period set by the administrator (e.g. 30 days). Once expired, you cannot re-subscribe to the free plan and must upgrade to a paid plan to continue.

Why can't I send confirmations?

Audilynx sends all confirmations automatically โ€” there's no email setup required. If sending fails, the most common causes are: your contact limit has been reached for your plan, the engagement has no contacts added, or your subscription has expired. Check your Subscription page or contact support if the issue persists.

Do I need to set up my own email to use Audilynx?

No. By default, Audilynx sends every email โ€” confirmations, reminders, and notifications โ€” through its own managed email system at no extra effort. Only Enterprise plan firms have the option to configure a branded sender email if they want emails to appear from their own domain.

Why are my email templates not showing?

Email templates require the Email Templates feature to be enabled on your plan. Check your plan under Subscription. If the feature is included and templates are still missing, visiting the Templates page will automatically seed the three default templates.

Can team members pay for subscriptions?

No. Only the account Owner can access the Subscription and Billing pages. Other roles do not see these menu items.

What happens when my plan expires?

You are redirected to the Pricing page with a "Plan Expired" notice. Your existing data is not deleted. Choose a new plan to regain access. If your expired plan was a free plan, you must select a paid plan.

Is my client data secure?

Yes. Contact names and email addresses are encrypted at rest. All pages require authentication. CSRF tokens protect every form. Security headers (X-Frame-Options, X-Content-Type-Options, etc.) are sent on every request. Brute-force protection limits login attempts to 5 per 15 minutes.

How does the Audit Trail work?

Every significant action (creating an engagement, sending a confirmation, adding a team member, changing settings) is logged with a timestamp and the user who performed it. Go to Audit Trail in the sidebar to view and export the full log.

I've lost access to my 2FA device. What do I do?

Contact your administrator or email support@audilynx.com to have your 2FA reset manually.
